Background

On this occasion, our client required expert Networking and Data Centre support to relocate and upgrade their Wireless Access Point (WAP) infrastructure between two London locations, as part of a wider programme of IT improvements. Given the critical nature of the equipment, the work needed to be delivered to strict timelines with minimal operational disruption.
Client Requirement
The project was delivered in two stages. The first involved auditing and relocating the client’s existing WAPs from one site to another, with full decommissioning and recommissioning. The second stage focused on removing legacy WAPs and installing new Arista devices.
Work was scheduled within specific weekday and Saturday access windows, ensuring it aligned with the client’s business hours and reduced the risk of operational impact. Clear documentation, secure handling, and precise coordination were all essential to the success of the project.
Our Solution
Planning and Coordination
Our Project Management Team worked closely with the client from the outset, ensuring all details were aligned ahead of delivery. We reviewed and verified rack layouts, patching schedules and equipment lists, providing clarity at each stage of planning.
A tailored migration runbook was developed to support the delivery process, supported by regular meetings and update calls with key stakeholders. This ensured that any challenges were addressed promptly and that all parties remained fully informed throughout.
Phase One: Audit and Equipment Relocation
The initial phase began with a physical audit of all WAPs on the 16th floor of the client’s data centre. Our engineers identified eight active devices, tracing each patch cable from switch port to patch panel and confirming their positions. Where necessary, WAPs were temporarily removed and reinstalled to confirm location details.
Once the audit was complete, our team returned on the agreed migration date. The client powered down systems ahead of our arrival. We decommissioned and labelled all equipment in line with the agreed destination rack plans. Each device was then wrapped in anti-static material and placed in foam-lined flight cases, along with a bag of optics.
Items were transported in one of our GPS-tracked vehicles, with security tags and equipment itineraries used where requested. On arrival at the new location, our engineers unpacked and installed all equipment according to plan. Structured cabling was completed using the client’s existing cables, and each device was labelled as specified. Final power-up and testing were completed by the client.
Phase Two: Wireless Access Point Replacement
The second phase focused on upgrading the WAPs. Our engineers located the new Arista devices, labelled them according to the client’s instructions, and removed the existing WAPs. The new units were mounted using the brackets already in place.
Once installation was complete, the equipment was handed over to the client for testing.
Outcome
All works were completed within the defined access windows and without disruption to business operations. The relocation and upgrade were delivered according to plan, with strong coordination and a structured approach ensuring all requirements were met.
